JOB SUMMARY:Â The Procurement Manager is responsible for centralizing, standardizing, and managing the procurement of goods and services across company divisions and categories, including equipment, parts, supplies, services, and indirect spend. The role is critical to controlling costs, ensuring parts and supply availability, building strong vendor relationships, and bringing structure and continuous improvement to a high-volume, multi-division procurement environment.
JOB RESPONSIBILITIES:
Procurement & Operational Execution
- Manage the full lifecycle of assigned purchase orders (POs) across categories and divisions, including equipment, parts, supplies, rental fleet assets, and indirect spend through payment
- Create purchase requisitions process, produce PO system
- Monitor and maintain data accuracy across all POs including pricing, lead times, delivery dates, part numbers, and supplier information
- Ensure that delayed orders escalate to internal stakeholders and resolve delivery or quality discrepancies
- Ensure vendor returns and coordinate credit resolutions
- Maintain documentation and audit trail for all vendor communications
- Ensure purchasing compliance with company policies, SOPs, manufacturer agreements, and any applicable government or fleet purchasing programs
Cost Control & Strategic Sourcing
- Solicit competitive bids, evaluate vendor proposals, and negotiate pricing, terms, and contracts
- Identify and execute cost-saving opportunities through volume consolidation, contract leverage, alternative sourcing, and market price monitoring
- Support assigned category strategies with vendor analysis, spend tracking, and contract data management
- Partner with internal stakeholders to execute sourcing strategies
- Support budgeting and forecasting by providing spend data and projections
Vendor & Supplier Management
- Establish and maintain preferred vendor lists and approved supplier agreements
- Build strong relationships with minor OEM suppliers, aftermarket parts vendors, and service contractors to foster accountability and responsive support
- Identify opportunities to improve vendor performance, lead times, and pricing
Process, Compliance & Reporting
- Support the design and implementation of formal purchasing policies including, requisitions and PO requirements, spending authorities, and preferred vendor usage
- Establish PO workflows and approval thresholds to create accountability and visibility
- Support procurement reporting and dashboards covering spend, compliance, and supplier performance
- Participate in cross-functional meetings to improve upstream and downstream supply chain processes
- Support the Accounts Payable department with PO mismatches, pricing variances, invoice reconciliation, and receipts
- Work cross-functionally with service managers, parts managers, and branch managers to align purchasing with operational needs
Technology & Systems
- Leverage the company’s ERP or dealer management system to manage POs, track orders, and report on spend
- Identify opportunities to automate or streamline purchasing workflows
- Execute and support performance data analytics and relevant KPIs
POSITION REQUIREMENTS:
- Bachelor’s degree in Supply Chain Management, Business Administration, or related field preferred; 3–5+ years of professional procurement or purchasing experience in a related field considered in lieu of degree
- Experience in equipment distribution, dealerships, industrial/commercial services, or a comparable high-volume procurement environment preferred
- ERP system experience required; E emphasis is a plus
- CPM or CPSM certification a plus
- Strong negotiation skills and vendor management experience
- Strong analytical capabilities with proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
- Excellent problem-solving and communication skills
- Collaborative mindset with ability to work cross-functionally across divisions and locations
- Ability to manage multiple priorities and adapt to frequent changes in deadlines and priorities
- Detail-oriented with strong organizational and documentation skills
WORKING CONDITIONS:Â Employee is expected to work a basic 40-hour week Monday through Friday from 7:30 a.m. to 4:30 p.m. plus whatever time is required to accomplish goals for the position. This position is exempt from paid overtime.
